AI receptionist human handoff with a clear fallback.

Write simple rules for live transfers, urgent calls, unknown questions and callbacks. Test what happens when nobody answers.

Sample setupReady for reviewSample

CallerCan I speak to the team?

AIThis is the AI receptionist. This call is recorded. I can try the team now.

RuleIf no one answers, take a message.

ResultThe team confirms the next step.

The next stepWrite down the rule. Test it. Keep a person in charge.

The short answer

Short answer

A human handoff is the point where the AI stops handling a call and brings in a person. Good rules say what triggers it, who gets the call and what happens if that person cannot answer. The AI should pass along a short summary, avoid guesses and never call a failed transfer a success.

01 / Triggers

Decide when a person takes over.

  • 01

The caller asks for a person.

Offer the approved transfer or callback path. Do not trap the caller in a loop of repeated questions.

  • 02

The question is outside the facts.

If the answer is not in the business information, say so. Capture the question and the callback details the team needs.

  • 03

    The call needs a decision.

A complaint, exception or request to change a commitment may need human judgment. Name the team member who owns it.

  • 04

The caller reports an urgent issue.

Use the exact escalation rule the business approved. The AI must not invent an emergency response or promise that help is on the way.

02 / Routing map

Give every route an owner.

RuleWrite this down
TriggerWhich words or situation cause a handoff.
RecipientThe role or team that may take this call.
HoursWhen that recipient is available, with the time zone.
Call summaryOnly the facts needed to handle the request.
No answerThe message or callback path if the transfer fails.
ConfirmationHow the team knows the caller reached a person or needs follow-up.

03 / Fallback

Say what actually happened.

Clear wording

  • I can try the team now.
  • I could not reach them. May I take a message?
  • I do not have that answer. I can ask the team to follow up.
  • I can request a callback. The team will confirm the time.

Avoid these claims

  • You are booked, when nothing was saved.
  • Someone is on the way, without confirmation.
  • The manager approved it, without a real decision.
  • Your issue is solved, when a message was only sent.

04 / Quality check

Test the handoff, not just the voice.

  1. Call while the recipient is available.

Check that the right phone rings and the summary is useful. Ask the person who received it what was missing.

  2. Call when nobody can answer.

Let the transfer fail on purpose. Check the caller message and the follow-up record. There should be one clear owner for the callback.

  3. Change the hours and test again.

Try an after-hours call, a holiday rule and an unavailable team member. The same fallback should not depend on one person remembering to answer.

05 / Next step

Connect the rules to the rest of the system.

Keep the routing sheet with the business facts. When a phone number, role or schedule changes, update the rule and test it again. Do not hide urgent-call handling inside a long prompt that nobody on the team can review.

Use the setup checklist to check calendars, recording notices and the way back to the old route. Then compare AI and human answering services against the calls you actually receive.

Measure transfer attempts, completed handoffs and callbacks still waiting as separate outcomes. A transcript shows what was said. It does not by itself show that a person received the call or did the work.

06 / Questions

Straight answers.

3 questions
01

Should the AI always transfer to a person?

No. It can handle approved routine questions. A person should take over at the boundaries the business sets, when a caller asks, or when the system cannot safely complete the next step.

02

What if nobody answers the transfer?

Use the approved callback or message path. Tell the caller the transfer did not connect. Do not report it as a completed handoff.

03

Does a call summary prove the issue is resolved?

No. A summary is a record. The team still needs to confirm the outcome, such as a completed callback or a saved appointment.
